Privacy Policy — Smart Miles

This Privacy Policy describes how 47 Signals LLC, a Wyoming limited liability company doing business as Smart Miles ("Smart Miles," "we," "us," or "our"), collects, uses, and protects your information when you use the Smart Miles mobile application, web dashboard, and related services (collectively, the "Service").
By using the Service, you agree to the practices described in this policy. If you do not agree, please do not use the Service.
1. Information We Collect
a. Information You Provide
- Account information. Email address and, if you sign in with Google, your name and profile photo as provided by Google.
- Trip details. Purpose classifications, notes, and any manual trip entries you create.
- Vehicle information. Make, model, year, and color of vehicles you add to the Service.
- Saved locations. Addresses you save (e.g., "Home," "Office") for trip classification.
- Preferences and settings. Work hours schedules, notification preferences, and mileage rate configurations.
b. Information Collected Automatically
- Location data. GPS coordinates, speed, heading, altitude, and accuracy collected from your device while the app is in use and while it runs in the background. This is the core data used to detect and record trips. Background location collection only occurs when you have enabled trip tracking.
- Device activity signals. Motion and activity-recognition data provided by your device's operating system (e.g., stationary, walking, driving) used to determine when to start and stop trip recording.
- Device information. Device model, operating system and version, app version, and a unique device identifier for authentication and troubleshooting purposes.
- Usage data. Timestamps of interactions with the Service (e.g., last login, last sync), session information, and feature usage patterns needed to operate and improve the Service.
- Crash and diagnostic data. Crash logs, error reports, and performance diagnostics collected automatically to identify and fix bugs. This data may include device state at the time of the error but does not include your trip data or location history.
c. Information from Third Parties
- Google Sign-In. If you choose to sign in with Google, we receive your name, email address, and profile photo from Google. We do not access your Google contacts, calendar, or any other Google account data.
d. Background Location
Smart Miles collects location data in the background to automatically detect and record your trips while the app is not in the foreground. This is essential to the core function of the Service — without background location access, trips cannot be recorded automatically. Background location collection is only active when you have enabled trip tracking, and can be disabled at any time by revoking location permissions in your device settings.
2. How We Use Your Information
We use your information solely to provide, maintain, and improve the Service. Specifically:
- Trip tracking and recording. Processing location and activity data to automatically detect trips, calculate distances, and generate route maps.
- Trip classification. Using your saved locations, work hours, and classification rules to automatically categorize trips as business or personal.
- Reports and exports. Generating mileage logs, tax reports, and data exports that you request.
- Account management. Authenticating your identity, managing your preferences, and communicating with you about your account (e.g., login codes, service notifications).
- Service improvement. Understanding how the Service is used so we can fix bugs, improve reliability, and develop new features.
- Customer support. Responding to your questions and resolving issues.
3. What We Do NOT Do With Your Data
We want to be clear about what we will never do:
- We do not sell your personal information. Not to data brokers, advertisers, or anyone else. Ever.
- We do not share your data with third parties for their own marketing or advertising purposes.
- We do not serve ads. The Service contains no advertising and we do not use your data for ad targeting.
- We do not build profiles about you for purposes unrelated to the Service.
- We do not track your location for any purpose other than recording your trips. When trip tracking is disabled, we do not collect location data.
4. Service Providers (Data Processors)
To operate the Service, we use a limited number of trusted third-party service providers who process data on our behalf and under our instructions. These providers fall into the following categories:
- Cloud hosting and infrastructure. Servers, file storage, content delivery, and email delivery.
- Mapping and geolocation. Geocoding, route matching, and map rendering.
- Error monitoring. Crash reporting and performance diagnostics.
- Authentication. Third-party sign-in providers.
Our current service providers include Amazon Web Services (AWS), Cloudflare, Google, HERE Technologies, Mapbox, and Sentry. These providers are contractually bound to use your data only as necessary to perform services for us. We do not allow them to use your data for their own purposes.
5. Data Storage & Security
Your data is stored on servers located in the United States, hosted by Amazon Web Services and Cloudflare. We implement industry-standard security measures to protect your information, including:
- Encryption in transit (TLS/HTTPS for all connections).
- Encryption at rest for stored data.
- Secure authentication with passwordless login codes and OAuth.
- Access controls limiting employee access to user data to what is necessary for support and operations.
No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
6. Data Retention
- Active accounts. We retain your data for as long as your account is active and as needed to provide the Service.
- Deleted accounts. When you delete your account, we will delete your personal data within 30 days. Some data may be retained in encrypted backups for up to 90 days before being permanently purged.
- Aggregated data. We may retain anonymized, aggregated data that cannot be used to identify you for analytical purposes (e.g., average trip distances across all users).
7. Your Rights & Choices
You have control over your data. You can:
- Access your data. View all your trip records, vehicle information, and account details through the app and web dashboard at any time.
- Export your data. Download your trip records and reports in standard formats (CSV, PDF) through the Service's export features.
- Correct your data. Edit trip details, vehicle information, and account settings directly in the Service.
- Delete your data. Delete individual trips or your entire account. Account deletion permanently removes all associated data, subject to the retention schedule in Section 6.
- Disable location tracking. Revoke location permissions through your device settings at any time. This will stop automatic trip detection but will not delete previously recorded data.
- Withdraw consent. Stop using the Service and delete your account at any time.

8. California Residents (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA) provides you with additional rights:
- Right to know. You may request details about the categories and specific pieces of personal information we have collected about you.
- Right to delete. You may request deletion of your personal information, subject to certain legal exceptions.
- Right to correct. You may request correction of inaccurate personal information.
- Right to opt out of sale or sharing. We do not sell or share your personal information as defined by the CCPA/CPRA, so there is nothing to opt out of.
- Non-discrimination. We will not discriminate against you for exercising any of your CCPA/CPRA rights.

9. Children's Privacy
The Service is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected information from a child under 16, we will promptly delete it. If you believe a child under 16 has provided us with personal information, please contact us at support@smartmiles.app.
10. Cookies & Similar Technologies
The Smart Miles web dashboard uses essential cookies required for authentication and session management. We do not use tracking cookies, advertising cookies, or third-party analytics scripts. No cookie consent banner is needed because we only use strictly necessary cookies.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy. We encourage you to review this page periodically.
